About the Role

As the Executive Assistant, you’ll be the CEO & GM’s trusted partner, ensuring their time, focus, and energy are aligned with business priorities. The MDR will also be held accountable to monthly booked meetings, held meetings, closed won meetings, and other key activities that lead to revenue.

But, we need an experienced Coaching Manager

Your mission is straightforward: lead, support, and develop a team of 5–7 Performance Coaches to deliver outstanding results for our members. This role is about driving team performance, upholding high coaching standards, and enabling builders to achieve more profit, time, and freedom.

We want a Coach Managing Machine who we can go to battle with as we scale this to another level.

The goal is to achieve four key expectations in this position

● Individual Coach Performance: Help coaches achieve KPIs like member churn (<4%), engagement (80%+), and member wins.

● Quality Control & Oversee Call Quality: Monitor at least 25% of coaching calls to maintain high standards and identify areas for improvement.

● Team Leadership & Ownership: Be the main point of contact for up to 7 coaches, providing clear direction, support, and accountability. Build systems, SOPs & processes that help streamline operations.

● Member Success: Work with the team to ensure members reach their goals, from increasing profitability to stepping back from daily operations.

The requirements are clear…

Proven Leadership: Experience managing and developing teams in fast-paced environments.

Coaching Background: A history of leading a coaching team, business coaching, business consulting, business leadership. Bonus if it’s in construction.

Analytical Skills: Ability to track, assess, and improve performance metrics.

Clear Communicator: Skilled at providing actionable feedback and motivating your team to deliver results.

Continuous Improvement: Always looking for better ways to work and deliver value.

Problem Solver: You are a player + coach, meaning you know how to solve problems, not just describe them. You have a PSR (Problem → Solution → Recommendation) approach to teamwork

Urgency & Pace: You possess a sense of urgency to move towards milestones knowing the member success & coaching department is the reason we exist as a company in the first place.

Multiplier not Additive Approach: Can prioritise and projects with limited resource

Your day-to-day tasks would consist of…

Weekly 20’s with Team: Conduct weekly coaching sessions with team members to provide guidance, support and development opportunities. These sessions focus on celebrating wins, addressing challenges, and fostering growth and improvement.

Call Review: Conduct weekly reviews of coaching calls, Facebook interactions, and other member correspondence to assess effectiveness, identify areas for improvement, and ensure alignment with The Professional Builder’s values and coaching methodologies.

Feedback Given: Provide constructive feedback to team members regarding their results from the coaching services reviews. Feedback should be timely, specific, and actionable, aimed at promoting learning, growth and performance improvement.

Top Ranking Team Member Stretched to Grow: Identify top-performing team members and provide opportunities for growth and development. Assign challenging projects, offer leadership opportunities, or facilitate skill-building activities to help them reach their full potential and continue to excel while raising the bar for the rest of the team.

Lowest Ranking Team Member Given Extra Support: Offer additional support and resources to team members who may be struggling or underperforming. Provide extra coaching, training or mentorship to address performance gaps, overcome challenges and improve knowledge. Invest in their development to help them reach their full potential and contribute effectively to the team’s success.

Strategic Process Improvement: Build SOPs, frameworks and systems to help streamline operations in the coaching department.
